Frequently asked questions
How far in advance should I book hotel rooms when planning a conference in Charlotte?
For a large conference, book your guest rooms as early as possible, ideally three to six months out. Charlotte hosts events year-round, and properties with significant meeting space fill quickly during peak seasons. Booking early gives you more options and better availability across the hotels on this list.
How do I book a block of rooms for conference attendees?
If you need nine or more guest rooms, Engine Groups handles your room-block booking with consolidated invoicing and multiple payment options. For eight rooms or fewer, you can book directly through Engine's self-serve platform. Either way, there's no membership fee, and you'll have access to pre-negotiated rates.
How does billing work for a multi-room conference booking?
Engine offers consolidated invoicing, so you receive one invoice for your entire room block rather than managing separate charges. You also have multiple payment options to fit your company's processes, and there's no membership fee to use the platform.
What makes a hotel a good fit for hosting a large meeting or corporate event?
Look for properties with ample meeting space, enough guest rooms to accommodate your attendees, and on-site facilities that support your agenda. The Westin Charlotte, for example, offers 28 meeting rooms and about 16,000 square feet of event space, while the Hilton Charlotte University Place has about 19,000 square feet and 17 meeting rooms. Amenities like AV, catering, and breakfast vary by property, so confirm those details when you book.
What should I compare across conference hotels in Charlotte when choosing where to host?
Compare total event square footage, the number of meeting rooms, and guest-room capacity to ensure the property can handle your group size and agenda. Also consider location relative to the airport or downtown, on-site services, and whether the hotel's layout works for your event. You can find and request meeting and event space through Engine Spaces, which gives you access to thousands of venues, then book your guest-room block through Engine Groups (for nine or more rooms) or self-serve (for eight or fewer).
